Job Description:

seeking a 75% FTE (30 hours/week) HR Assistant (Admin Services Coordinator PAA1/2B) to provide administrative and HR support for the University of Iowa Libraries. This includes providing HR support for the HR Director and HR Coordinator and as a member of the administrative office, will provide welcome desk responsibilities and assist with other administrative support activities as outlined below or as requested. Work schedule: 10 am 4:30 pm (30 min lunch) For a full job description, please send an email to the contact listed below. Duties_To_Include * Manage the student employment program for the Libraries, providing basic guidance on HR policies and procedures to supervisors and students. Facilitate opportunities to enhance the student employment experience for supervisors and employees. Initiate transactions, complete I-9's, maintain Sharepoint, listservs and spreadsheets. * Provide support for recruitment activities: scheduling meetings, placing reservations, room setup, and other duties as needed. * Provide guidance on leave management related to: FMLA, ADA, Workers Compensation, and other leave collaborating with FSDS. Monitor and analyze leave usage and provide resources to HR, supervisors, and employees. Meet with new employees to review absence related information. * Assist with Libraries' HR workflow. Initiate transactions including appointments, terminations, changes of status, etc. * Research and gather data for specialized reports using a variety of methods. Perform basic and routine HR analysis. * Maintain confidential files, records and reports. Audit report repositories to assure completeness and accuracy of information. * Assist with the Libraries' staff onboarding and exit process. Assemble new employee welcome kit, schedule introductory meetings, etc. * Assist with compliance of Driver's License Review system and other University compliances communicating requirements to staff, monitor completion, etc. * Maintain SharePoint site, listserv and spreadsheets for contact and processing. * Manage calendars and schedule meetings; assist with preparation of specialized events and activities, as directed. * Manage Libraries' administrative emails, listservs, and Outlook calendars for conference and lactation room(s). * Provides welcome desk duties for staff, students, faculty, and the public concerning inquiries or complaints requiring interpretation of established policies, procedures and programs. Qualifications Education Requirement * A Bachelor's degree or an equivalent combination of education and experience is required Experience_Required * Experience (typically 1-3 years) in an administrative support role plus a minimum of one-year experience in a human resources role or office. * Demonstrates excellent customer service, public contact, and written/ verbal communication skills. * Demonstrates careful attention to detail and accuracy, experience with handling multiple projects simultaneously, establishing priorities and managing frequent changes in tasks. * Demonstrates the ability to work both as a team and as a self-motivated individual. * Proficiency in Microsoft Office Suite (Outlook, Word, and Excel). * Demonstrated commitment to diversity in an academic environment, in a workplace setting, and/or in the community. Desirable_Qualifications * Experience with University of Iowa policies, procedures, and systems. * Certification as an HR Professional, such as PHR, SPHR, SHRM-CP.
